Enhanced Adjusted-Pending Receipts Workflow for Bank File Uploads

Managing unmatched bank statement receipts just got easier for Trust Accountants using an enhanced bank file upload receipting workflow. Receipts that cannot be immediately matched - whether the relevant property, lease, ledger, or sub-ledger is not yet set up, or the payer cannot be identified - can now be held in a dedicated queue and reprocessed directly at a later date, with no re-typing of the original receipt data required.

What's New

  • When a receipt can't be matched using file upload receipting methods such as TXN, QIF, OFX and ANZ File, the receipt can now be deferred into a new Adjusted-Pending Receipts queue on the Receipts screen, rather than disappearing from view after being added as a Bank Reconciliation adjustment.
  • Deferred receipts stay visible in the queue until they are reprocessed or deleted, so nothing gets lost between sessions.
  • If a matching property, lease, ledger, or sub-ledger has since been set up in your database, a suggested match for these deferred receipts will be available for selection. Receipts with a suggested match display in white; receipts still waiting for a match display in red. You can also manually select the relevant record if required. 
  • When you are ready to reprocess a deferred receipt, all the original details are already filled in - there is no need to re-enter the amount or date
  • Once a receipt is successfully reprocessed, the linked Bank Reconciliation adjustment is automatically cleared. You do not need to manually update the adjustment.
  • Bank Reconciliation adjustments created via this workflow now also include an 'Open in Receipting' link, so you can jump straight to the receipt from the Bank Reconciliation screen without having to navigate back to the Receipts page manually.
  • This feature is available to Trust Accountant users.

 

How to use the Adjusted-Pending Receipts Queue

Deferring a Receipt to the Adjusted-Pending Receipts Queue

When you are processing bank file receipts and come across one you cannot match right now, you can defer it to come back to later.

  1. Navigate to Accounts Receivable > Receipts and select the relevant trust account.
  2. Under 'Select a Method', choose your file upload method and upload your bank file as usual.
  3. For any receipt you cannot match, click the 'View Receipt for Processing' icon to open the Payment Details panel.
  4. Click 'Add as Adjustment and go-to Next'. A pop-up will appear - enter the date the funds were received in the trust account as the Adjustment Date, then click Confirm.
  5. The receipt is saved to the new Adjusted-Pending Receipts queue and an adjustment is created in your Bank Reconciliation. You can continue processing the rest of your receipts as normal.

Reprocessing a Deferred Receipt

When you are ready to allocate a deferred receipt - for example, once the relevant property or lease has been set up or identified - come back to the Receipts screen to reprocess it.

  1. Navigate to Accounts Receivable > Receipts, select the relevant trust account, and choose your file upload method.
  2. Scroll down past any pending receipts to find the Adjusted-Pending Receipts section. Click the '+' icon to expand it.
  3. Receipts in white already have a suggested match ready to go. Receipts in red still need a match selected manually.
  4. Click the 'View Receipt for Processing' icon on the receipt you want to process. This highlight your current pending receipt in blue, and will display the Payment Details section for processing. All the original receipt details will already be filled in.
  5. Confirm or select the appropriate match, enter or confirm any other receipt details such as Account, Description, Dates and Tax then click 'Process Receipt'. The receipt will be processed and cleared from the Adjusted-Pending Receipts queue and Rex Cirrus8 will automatically clear the linked Bank Reconciliation adjustment for you.

Reprocessing from the Bank Reconciliation Screen

If you spot a deferred receipt while you are working in Bank Reconciliation, you can jump straight to reprocessing it without going back to the Receipts screen first.

  1. Navigate to Bank Reconciliation and select the relevant trust account.
  2. Enter the relevant Bank Statement Date to find the adjustment.
  3. In the Adjustments section, click 'Open in Receipting' on the relevant row.
  4. Rex Cirrus8 will open the Receipts screen in a new tab with the receipt ready to process. Follow steps 4 and 5 above to complete it.

Deleting an Adjustment from the Bank Reconciliation

If you no longer need a deferred receipt and want to clear the adjustment from your Bank Reconciliation, you can delete it directly from the Bank Reconciliation screen.

  1. Navigate to Bank Reconciliation, select the relevant trust account, and enter the relevant Bank Statement Date.
  2. In the Adjustments section, enter the adjustment date in the 'Remove As Of' date field on the relevant row. A 'Delete?' checkbox will appear once the date is entered.
  3. Select the 'Delete?' checkbox and click 'Submit Above Changes'. The adjustment will be removed from the Bank Reconciliation and the receipt will be automatically removed from the Adjusted-Pending Receipts queue as well.

Deleting a Receipt from the Adjusted-Pending Receipts Queue

If you decide you no longer want to reprocess a deferred receipt, you can remove it directly from the queue.

  1. Navigate to Accounts Receivable > Receipts, select the relevant trust account, and choose your file upload method.
  2. Expand the Adjusted-Pending Receipts section and locate the receipt you want to remove.
  3. Click the red X icon on the row and confirm the prompt. The receipt will be removed from the queue. Note that the linked Bank Reconciliation adjustment will remain and will need to be managed separately if required.

Additional Information

  • This enhancement applies to receipts deferred on or after the July 2026 release date. Any adjustments created before this release are not affected and continue to work as they always have.
  • The Adjusted-Pending Receipts queue only appears when you are using a file upload method under 'Select a Method'. It is not available when using manual receipting.
  • The queue will not appear on screen if there are no deferred receipts waiting - it shows up automatically once a receipt has been added.
