How to Edit a Tenant Tax Invoice

Modified on Fri, 2 Jan at 2:35 PM

Overview

If a tenant invoice has already been generated but requires changes to the amount, the invoice number must first be reset. Once reset, the invoice amount can be amended via the Accounts Receivable > Invoice & Credit Adjustments function.

Step 1: Reset Invoice Number

Resetting the invoice number removes the existing invoice number from the system, allowing a new one to be generated and re-issued.

  1. Go to Accounts Receivable > Reset Invoice Number
  2. Choose a selection option to search by either:
    • Lease
    • Property
    • Invoice Range
    • Invoice Number
  3. Select the relevant Property
  4. Select the relevant Lease
  5. Enter the Transaction Date Range
  6. Click Search
  7. Click View on the relevant invoice
  8. Select the Reset tick box next to the invoice, or click All to select all
  9. Click Reset. A confirmation message will appear once the invoice number has been successfully reset.

Step 2: Edit Invoice

Once the invoice number has been reset, you can proceed to adjust the invoice.

  1. Go to Accounts Receivable > Invoice & Credit Adjustments
  2. Select a search method by Lease
  3. Select the relevant Lease
  4. Locate the relevant Transaction Type by filtering by: Invoice or Credit
  5. Select the Search Criteria as Period Open (Tax Invoice Not Generated & Unpaid)
  6. Locate the relevant transaction to amend and click view against this transaction
  7. Make the necessary adjustments to the invoice
  8. Click save
  9. Create and assign a new invoice number by clicking on Create Tax Invoice
  10. Enter the new due date of the tax invoice
  11. Click Ok
  12. Download a copy of the pdf tax invoice if required, or click Close & Refresh Adjustment Details
  13. If the updated tenant tax invoice needs to be emailed to the tenant, click Email
